This policy explains how Kolahoi Sheen Dairy Private Limited, which operates Docly.fit from New Delhi, India, handles personal information when you use the website as a patient, doctor, clinic or hospital.

1. Information we collect

Account details: name, email address, mobile number and password (stored securely, never in plain text).
Profile details you choose to add, such as date of birth, gender and city.
Health details you choose to keep in your account: your health profile (for example blood group, allergies, conditions and medicines), family members you add, and medical documents you upload. These are private to your account.
Appointment details: the doctor, date, time, location, consultation type and status.
For doctors: qualifications, medical registration number, clinic details, profile photo and the verification documents you upload.
For clinics and hospitals: facility, contact person and contact details.
Messages you send through the contact form.
If you accept cookies: how you reached Docly.fit (for example the ad or link you clicked) and which pages you visit. See section 5.

Please do not send health details through the contact form.

2. How we use it

To create and secure your account.
To book, confirm and manage appointments, and share booking details with the doctor you book.
To verify doctors, clinics and hospitals before they appear on Docly.fit.
To process booking fees and refunds.
With your consent, to measure which of our ads bring people to Docly.fit.
To answer your messages, prevent misuse and meet legal obligations.

3. Who can see it

The doctor you book sees your name, mobile number and booking details.
Doctors' public profiles show their name, photo, qualifications, clinic, hours and fees. Verification documents are private and seen only by our verification team.
Our team members, only as needed to run the service.

We do not sell personal information.

4. Service providers

Supabase stores our database, accounts and uploaded files, with access controls on every table.
Our payment partner (Razorpay) processes booking fee payments once online payment is enabled; we never see or store card details.
OpenAI answers questions you ask Kiwi AI. We do not store your chats.
Meta (Facebook, Instagram) and Google (Analytics, Ads) measure our advertising, only if you accept cookies. See section 5.
Our hosting provider serves the website.

5. Cookies and ad measurement

Necessary cookies keep you signed in and remember your cookie choice. They are always on, because the site cannot work without them.

Measurement cookies are used only if you click “Accept” in the cookie banner. They come from:

Meta Pixel (Meta Platforms), to see which Facebook and Instagram ads lead to sign-ups and bookings;
Google Analytics and Google Ads (Google), to count visits and see which Google ads lead to bookings.

We also remember, for 90 days, how you first reached us (for example the campaign name in an ad link) and save it with any booking you make, so we know which ads work.

What we never share with Meta or Google: your health details, the specialty or doctor you search for, your symptoms, medical records, family members, Kiwi AI chats, or page addresses or titles that could reveal them. They only learn that an event happened (for example “a booking was made”), the booking fee, and anonymous ids. When you book or sign up, we may also send Meta your email, mobile number and account id in a scrambled (hashed) form, together with your IP address and browser type. Meta uses these only to match the booking or sign-up to an ad.

Changing your mind: choose “Cookie settings” at the bottom of any page and pick “Only necessary”. We then delete our measurement cookies and stop sending anything. Withdrawing consent does not affect anything sent before.

6. Security

Data is sent over encrypted connections. Each account can access only its own information, and medical and doctor documents are kept in private storage with short-lived access links. Never share your password or verification codes.

7. How long we keep it

We keep account and appointment information while your account is active and afterwards only as long as needed for legal, tax and dispute purposes. Meta and Google measurement cookies, and our record of how you reached us, expire after 90 days; your cookie choice is kept for 180 days and then we ask again.

8. Your rights

Under India's Digital Personal Data Protection Act, 2023, you can ask for a summary of your information, have it corrected or deleted, withdraw consent at any time, and raise a complaint with us. You can update your profile from your dashboard; for anything else, email us — we respond within 30 days. If you are not satisfied with our answer, you may complain to the Data Protection Board of India.

9. Changes

The date above shows the latest version. Significant changes will be announced on the site.
